Genensys LLC (“Genensys,” “we,” “us,” or “our”) operates the Genensys AI Scribe mobile application (the “App”), which provides AI-assisted medical transcription and clinical note generation for healthcare providers. This Privacy Policy explains what information the App collects, how it is used, and how it is protected.

1. Who This App Is For

Genensys AI Scribe is intended for use by licensed healthcare providers and authorized clinical staff in the course of patient care. It is not intended for use by patients directly or by the general public.

2. Information We Collect

2.1 Audio Recordings (Microphone)

The App requests access to your device’s microphone to record patient consultations when a healthcare provider actively starts a recording session. Audio is captured only while a recording session is active and is used solely to generate a transcript of the consultation.

2.2 Camera

The App requests access to your device’s camera to allow providers to capture photographs of handwritten or printed notes for backup and recordkeeping purposes. The App does not access your photo library; only newly captured photos are used.

2.3 Transcripts and Clinical Notes

Audio recordings are processed through third-party transcription and AI language model services to generate text transcripts and structured clinical notes (such as SOAP notes). The resulting transcript and note text may include Protected Health Information (PHI) as defined under HIPAA, including patient symptoms, diagnoses, treatment discussions, and other clinical details disclosed during the recorded encounter.

2.4 Account and Usage Information

We may collect account credentials, provider identifiers, and basic usage/log data (such as session timestamps and app diagnostics) necessary to operate and support the App.

3. How We Use Information

We use the information described above to: – Generate accurate transcripts and clinical notes from recorded consultations – Allow providers to review, edit, and save notes and supporting images – Maintain and improve the reliability and performance of the App – Provide customer support and troubleshoot technical issues – Comply with legal, regulatory, and contractual obligations

We do not use audio recordings, transcripts, or clinical notes for advertising, marketing, or to train third-party AI models beyond what is required to generate the requested transcript/note for that session, unless separately disclosed to and agreed upon by the provider’s organization.

4. Third-Party Service Providers

To deliver transcription and note-generation functionality, audio and text data may be transmitted to and processed by third-party service providers (including speech-to-text and AI language model providers) under contractual terms requiring appropriate safeguarding of the data. These providers process data solely to perform the requested service and are prohibited from using it for any other purpose.

5. Protected Health Information and HIPAA

Because the App may process Protected Health Information, Genensys takes the following measures: – Data in transit is encrypted (e.g., via HTTPS/WSS) – Access to stored transcripts and notes is restricted to authorized provider accounts – We enter into Business Associate Agreements (BAAs), where applicable, with third-party processors that handle PHI on our behalf

Healthcare organizations using the App remain responsible for ensuring their own use of the App complies with applicable HIPAA and patient-consent requirements, including informing patients when a consultation is being recorded, where required by law.

6. Data Retention

Audio recordings are retained only as long as necessary to generate the transcript and note, after which raw audio may be deleted or retained according to the healthcare organization’s recordkeeping policies. Transcripts and clinical notes are retained as part of the patient record in accordance with the provider organization’s medical recordkeeping obligations and applicable law.

7. Data Security

We use industry-standard technical and organizational safeguards — including encryption in transit, access controls, and authentication — to protect data collected through the App from unauthorized access, disclosure, alteration, or destruction.

8. Your Choices

  • Microphone access can be disabled at any time via iOS Settings, though this will prevent the App’s core recording and transcription features from functioning.
  • Camera access can similarly be disabled via iOS Settings, which will prevent photo-capture of notes.
  • Providers may request access to, correction of, or deletion of clinical notes generated through the App, subject to applicable medical recordkeeping retention requirements.

9. Children’s Privacy

The App is designed for use by healthcare providers and is not directed at children. We do not knowingly collect personal information directly from children through the App.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last Updated” date above. Continued use of the App after changes are posted constitutes acceptance of the revised policy.
